Payment · Evidence · Records
Six numbered documents run in a fixed order, and each one points at the one before it. A year from now — for you, your bookkeeper, or a card issuer — the paper trail alone should say what was bought, for which milestone, for how much, and whether it was accepted.
All six are numbered from one project reference, so nothing floats free. Numbers are sequential and never reused.
Estimate
Written, itemised, valid 14 days. Free.
Statement of Work
Numbered with a project reference. Deliverable IDs, caps, exclusions, acceptance test, schedule.
Invoice
Numbered per milestone, naming the SOW clause and the deliverable IDs. Carries the payment reference.
Acceptance record
Numbered, written, against the definition of done — or deemed acceptance on day 6.
Receipt
Numbered, issued when funds clear, stating invoice, amount, method, date.
Handover index
A one-page list of every document in the project, delivered with the final handover.
If anything does not match, stop and ask. A payment made against the wrong reference takes longer to reconcile than a question does. Bank details change only by a new invoice plus a phone confirmation — never by email alone.
Cleared funds. A confirmation screen, a screenshot, or a message saying it was sent is not payment. Because card and bank transfers can be reversed or returned, the invoice stays open until the money lands. Work that depends on a cleared deposit starts when it clears.
A numbered receipt goes out within one business day of cleared funds, stating the invoice number, amount, method, and date. Project records are kept seven years. See the records page for the exact fields each document carries.
Refunds are paid by Jon-Andrew directly, usually by bank transfer, within 14 days of written confirmation. A refund is a new payment back to you, not a reversal of the original one. A payment processor may be unable to reverse part of a payment, and its fee is not returned — neither changes what you are owed. The refund & cancellation policy and the signed SOW set the amount.
Redacted example. Yours will carry the same fields, filled in.
The invoice states the accepted method, normally ACH bank transfer or card. Card is offered with no surcharge: the fee is absorbed, so the invoice amount is the amount due. Methods can differ between invoices, and the invoice in hand governs. This site names no processor and runs no checkout, so a change of provider never changes the process.
